
RENTAL POLICY – PRINCE GEORGE CAR RENTALS
Welcome to Prince George Car Rentals. Our goal is to provide simple, affordable, and reliable vehicle rentals in Prince George, British Columbia. Please review our rental policies before submitting a booking request.

DRIVER REQUIREMENTS
All drivers must hold a valid driver's licence and meet all legal driving requirements in British Columbia, Canada.
Only approved drivers listed in the rental agreement are permitted to operate the vehicle.
Rentals to N drivers, new drivers, young drivers, international drivers, or drivers with limited driving experience are reviewed on a case-by-case basis and are subject to approval by Prince George Car Rentals.
Approval may depend on driving experience, age group, licence class, rental duration, travel distance, intended use, destination, and overall risk assessment.
Insurance Surcharge
Rentals involving Class 7 N drivers or International Driver's Licence holders are subject to an additional insurance surcharge of $20 per rental day.
Out-of-Province Canadian Class 5 Licences (Alberta, Ontario, Yukon, Saskatchewan, Manitoba, etc.) and U.S. Driver's Licences may be accepted without surcharge, subject to verification and approval.
Additional insurance requirements, deposits, minimum rental periods, travel restrictions, or approval conditions may apply depending on driver experience, licence type, travel distance, destination, and insurance considerations.
Prince George Car Rentals reserves the right to approve, decline, limit, or place conditions on any rental request for insurance, safety, or business risk reasons.

BOOKING & AVAILABILITY
All bookings are subject to vehicle availability and company approval.
Submitting a booking request does not guarantee confirmation. A booking is confirmed only after Prince George Car Rentals reviews vehicle availability, driver eligibility, rental dates, travel plans, contact information, and payment details.
Bookings may not be confirmed if the customer does not respond to calls or text messages required for booking verification or pickup coordination.
If a vehicle is unavailable for the requested dates, we may offer an alternative vehicle, date, or option when possible.

PAYMENT POLICY
Payment is due before or at the time of vehicle pickup unless otherwise approved.
Accepted payment methods may include e-transfer, cash, online payment, or other approved methods.
No credit card is required for eligible rentals.
Additional charges may apply for late return, extra mileage, fuel differences, cleaning, tickets, tolls, towing, damages, recovery costs, or other rental-related expenses.

SECURITY DEPOSIT
Security deposit may be waived at the discretion of Prince George Car Rentals.
However, Prince George Car Rentals reserves the right to request a security deposit depending on driver experience, age group, licence type, rental duration, travel distance, destination, or other risk factors.
Even when a deposit is waived, the renter remains fully responsible for damages, loss, violations, extra mileage, fuel differences, tickets, towing, cleaning fees, and other charges under the rental agreement.

FUEL POLICY
Vehicles must be returned with the same fuel level as provided at pickup.
If the vehicle is returned with less fuel, the renter may be charged for the missing fuel and related service costs.

TRAVEL & MILEAGE POLICY
Daily rentals include up to 200 km per rental day unless otherwise agreed in writing.
Additional mileage may be charged at $0.25 per kilometre.
Customers must declare intended travel use at the time of booking. Travel categories include:
• Local Use – Prince George and surrounding areas up to 200 km
• Travel Within British Columbia
• Long-Distance Travel – Vancouver, Edmonton, Calgary, Jasper, Kelowna, Kamloops, or similar destinations
• Travel Outside British Columbia
Long-distance travel outside the Prince George area must be disclosed and approved before vehicle pickup.
Travel outside British Columbia requires prior approval.
Travel outside Canada is not permitted unless approved in writing by Prince George Car Rentals before pickup.
Additional charges, deposits, minimum rental periods, mileage charges, or restrictions may apply for extended-distance travel.

LATE RETURN POLICY
Vehicles must be returned on time according to the rental agreement.
Rental days are calculated on a 24-hour basis from pickup time.
Late returns may result in an additional daily rental charge.
Continued use of the vehicle without approval may result in additional fees, recovery costs, police involvement, insurance reporting, and legal action.

CANCELLATION / NO-SHOW POLICY
If a customer cancels, misses pickup, or does not arrive at the scheduled pickup time, the vehicle may be released for other bookings unless a new pickup time is confirmed by Prince George Car Rentals.
Bookings requiring delivery or special arrangements may be cancelled if the customer cannot be reached for confirmation.
If travel plans change, customers should contact us as soon as possible.

CLEANLINESS POLICY
Vehicles must be returned in reasonable condition.
A cleaning fee of up to $25 may apply if the vehicle is excessively dirty.
Additional cleaning charges may apply for smoke odour, vaping odour, stains, pet hair, strong odours, excessive mud, or unusual mess.

PROHIBITED USE
Vehicles must not be used for:
• Smoking or vaping inside the vehicle
• Illegal activities
• Transporting illegal substances
• Racing or stunt driving
• Off-road driving
• Towing without approval
• Unauthorized commercial use
• Subleasing or allowing unauthorized drivers
• Driving outside approved travel areas
• Travel outside Canada without written approval

INSURANCE & LIABILITY
Vehicles are insured under ICBC commercial/rental coverage.
The renter is responsible for the applicable deductible, currently $500 per claim, unless otherwise stated in the rental agreement.
The renter is also responsible for traffic tickets, parking violations, tolls, towing charges, impound fees, damage, loss, and other costs caused during the rental period.
Unauthorized drivers may void insurance coverage and may result in full financial responsibility to the renter.

ACCIDENTS & DAMAGE
In case of an accident or damage, the renter must:
• Ensure everyone is safe first
• Contact Prince George Car Rentals immediately
• Report to ICBC if required
• Cooperate fully with the claim process
Failure to report damage promptly may result in additional charges.

VEHICLE PICKUP & RETURN LOCATION
Vehicles must be picked up and returned to the agreed pickup and return location unless prior approval is provided.
Our primary pickup and return location is:

Unauthorized return to a different location may result in additional charges, recovery fees, towing fees, and additional rental charges until the vehicle is recovered.

FAILURE TO RETURN VEHICLE
Vehicles must be returned on or before the agreed return date and time.
If a renter fails to return the vehicle, refuses communication, abandons the vehicle, or continues using the vehicle without written approval, Prince George Car Rentals may revoke permission to use the vehicle, contact law enforcement, notify ICBC, recover the vehicle, and pursue all costs including recovery expenses, towing, storage, loss of use, legal fees, and damages.

RENTAL LIMIT
Maximum rental period is 30 days.
For longer rentals, a new agreement must be signed.

POLICY CHANGES
Prince George Car Rentals reserves the right to update rental policies, pricing, fees, approval requirements, and rental terms at any time.
All rentals are subject to the rental agreement signed at the time of vehicle pickup.
